Artisan and Vendor Applications

Craft exhibitors and sales and food vendors are invited to apply to the Old Songs Festival. Acceptance is by invitation only after we have reviewed your application. Application forms are available below.

Previous Festival Vendors (Artisan, Sales, Food) interested in returning to the Old Songs Festival are NOT required to fill out a new application every year and should email us about their interest directly at joy@oldsongs.org.

Artisans

The selection of crafts persons for the festival is juried. We consider applicants for the craft area in February of each year. We only consider those artisans who create their own work. Artisans must provide their own display, tables and chairs, electrical cords, fan and lamps. Your application will be considered and you will be contacted by April 15 (continue scrolling down the page for detailed information for the crafts area.)

Sales and Food Vendors

We consider sales and food vendor applicants in February of each year. You must also have a NYS Sales Tax number. You will need to provide your own 10’ X 10’ cover, tables and chairs. Your application will be considered and you will be contacted by April 15 (continue scrolling down the page for detailed information for the sales and food areas.)

Sales vendors are chosen in part by their relevance to the nature of our festival and the mission of Old Songs, Inc.

Booth Requirements & Information

Artisans

BOOTH FEE is $140. Please do not send this with an application, only after you have been notified of your selection in this year’s roster of artisans. In lieu of a higher registration fee we ask that you donate one of your items which is less than a $30 value to the festival for a fund-raising raffle we hold each January.

HOURS
The craft area will be open as follows: Friday, 3 pm – 10 pm; Saturday 10 am – 10 pm; Sunday 10 am – 4 pm. Craftspeople are expected to keep their booths open during these hours because the craft area is an integral part of the festival.

BOOTH SPACE
All booth spaces will be numbered and assigned in advance. Booth size is approximately 10′ x 10′. There are 20 “indoor” spaces on Artisan’s Row with roof, back wall and floor, several outdoor spaces that will require you to have a free-standing booth with its own cover or tarp, and limited indoor spaces in a large open building with other vendors. If it is possible for you to set up your own outside covered booth let us know, as it helps us with the limited space problems we have.

PERSONNEL
Free admission to the festival will be given to two adults working at each booth — this includes the craftsperson and 1 helper. Children under the age of 18 associated with adults working in the craft area are free of charge. Any other helpers attending the festival must purchase tickets.

CAMPING
There is camping space available on the festival grounds. Sign up for camping at crew.oldsongs.org.

ARRIVAL TIME and SET-UP
You can arrive at the festival Thursday from 6pm – 9pm, or Friday morning after 10am.

Sales Vendors

Financial terms are 15% of your gross, or $100 minimum, whichever is higher, payable Sunday evening of the Festival.

VENDOR SPACE
You will be assigned a location which best suits your needs and ours.

PERSONNEL
You are allowed a maximum of two helpers in addition to yourself to work in your booth.

SALES TAX #
A NYS Sales Tax Number is a prerequisite for vending at the Old Songs Festival. If you need a NY sales tax number call the New York sales tax office at 1-800-698-2909 for a form.

CAMPING
There is camping space available on the festival grounds. Sign up for camping at crew.oldsongs.org.


Food Vendors

Financial terms are 10% of your gross, payable Sunday evening of the Festival.

REQUIREMENTS FOR ALL FOOD VENDORS INCLUDE:

  • $30 Albany County Health Dept. registration fee (paid to Old Songs, Inc.)
  • INSURANCE – A certificate of liability insurance policy naming Old Songs, Inc. as certificate holder for the dates of the festival on file with us. It must stipulate $1,000,000 per occurance and $100,000 damage to rented property.
  • Proof of workers’ compensation and disability insurance
  • SALES TAX #
